About Our Service

The OneIT Business Process Analyst (BPA) team partners with departments across the University to strengthen operations by addressing inefficiencies, closing technology gaps, and developing streamlined, well‑documented workflows. Through this work, the team breaks down silos and enhances operational efficiency, reduces manual effort and supports more consistent, effective collaboration across departments.

Project Engagement Levels

Depending on your needs, we offer five levels of support. Use the table below to see which one fits your project:

Level 1

“Help us document what we do today.”

Current-State OnlyWe will work with your team to capture how your process works today (your current state) and turn it into a clear visual map.Deliverables:
-Current-State Process Map(s)

Level 2

“Help us find what’s working, what’s not, and the practical fixes we can make without a full overhaul of the current process.”

Current-State & ImprovementsWe will work with your team to create a visual map of how your process works today and talk through your pain points. In addition, we will provide simple improvement ideas and quick wins that your team can tackle internally or through OneIT Service Request tickets.Deliverables:
-Current‑state process map(s) -Quick wins and recommended improvements documentation

Level 3

“We need to review our current process from top to bottom and build a new, improved version for the future.”

Full AnalysisWe will work with your team to create visual maps of how things work today and how the process should work in a redesigned future state. The complete assessment will be documented within a Business Process Recommendations Document (BPRD), including pain points, quick-wins and recommended improvements. The implementation of the redesigned process will be submitted as a separate project by your team at a future date.Deliverables:
-Current‑state process map(s)
-Quick wins and recommended improvements documentation

Level 4

“We need a full assessment and redesign of our process from the ground up, with continued support as we transition directly into development and implementation.”

Full Analysis and Implementation SupportWe will work with your team to create visual maps of how things work today and how the process should work in a redesigned future state. The complete assessment will be documented within a Business Process Recommendations Document (BPRD), including pain points, quick-wins and recommended improvements, which will be used by the development team to implement the new process shortly following.Deliverables:

– Future‑state process map(s)
– Quick wins and recommended improvements documentation

Level 5

“We’re preparing for a Request For Proposal (RFP) and need help gathering our requirements.”

Request for Proposal RequirementsThe Business Process Analyst will work with your team to create a visual map of how things work today, talk through your pain points, document potential quick wins and improvements, and create a Business Process Recommendations Document (BPRD) tailored to support an RFP for a new system/solution.Deliverables:
– Current‑state process map(s)
– Quick wins and recommended improvements documentation
– Business Process Recommendations Document (BPRD) for RFP preparation

Requesting an Assessment

Eligibility

This service is currently available to divisions in the two-year pilot. If your division isn’t listed and you want to participate, please email us at OneIT-PPMO-Group@charlotte.edu.

How to Request

If you are ready for a process review, please contact your OneIT Executive Director. They will help review your information and get the process started.

Note for Project Leads: To keep communications on track, we aim to send initial announcements 2-4 weeks in advance, with a reminder 2-3 days before the start date.
